Overview

We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and clients, manage administrative tasks efficiently, and support the smooth operation of our office. This role requires strong communication skills, proficiency with office software, and a friendly, customer-focused attitude. Experience in medical or dental offices is a plus, but not required. The position offers an excellent opportunity to develop administrative expertise in a dynamic environment.

Responsibilities

  • Greet visitors and clients warmly, providing exceptional customer service

  • Manage phone systems, directing calls appropriately and taking detailed messages

  • Schedule appointments and maintain calendars using a computer program

  • Perform data entry tasks accurately into QuickBooks and other office management systems

  • Handle filing, record keeping, and document proofreading to ensure organization and accuracy

  • Assist with administrative support such as photocopying, scanning, and mailing documents

  • Support front desk operations including check-in/check-out procedures and managing patient or client inquiries

  • Maintain a tidy reception area to create a welcoming environment

  • Support bookkeeping tasks such as invoicing and basic financial record management

  • Content creation and social media posts

Skills

  • Proficiency with Google products

  • Strong computer skills with the ability to learn new software quickly

  • Experience with QuickBooks or bookkeeping is preferred

  • Excellent organizational skills with attention to detail in data entry and filingDemonstrated customer service skills with professional phone etiquette

  • Clerical experience in an office setting, especially in medical or dental environments, is highly desirable but not necessary

  • Ability to handle multi-line phone systems efficiently and professionally

  • Clear and well spoken English as we have a client base with hearing challenges.

  • Strong typing skills with accuracy for data entry tasks

  • Proofreading abilities to ensure error-free documents

  • Ability to manage multiple priorities effectively in a fast-paced environment

  • Previous experience in medical or offices is a plus but not mandatory

  • Content Creation and Social media skills are preferred

  • Canva proficient is preferred but not mandatory
